Terms of Service

1. About LONDONGRAD
LONDONGRAD Private Concierge (“LONDONGRAD”, “we”, “us” or “our”) provides concierge, relocation, sourcing, coordination and local support services in London.
These Terms apply to services supplied directly by LONDONGRAD unless otherwise agreed in writing.
Specific services may also be subject to a separate written quotation, proposal or service agreement.
2. Our services
LONDONGRAD may provide services including:
• private concierge assistance;
• relocation and settling-in support;
• supplier and venue sourcing;
• event coordination;
• local representation;
• university visits and education-related support;
• healthcare coordination;
• appointment and reservation assistance;
• in-person assistance;
• business and client support;
• other bespoke requests agreed with the client.
The exact scope, price and any material conditions will be agreed before paid work begins.
3. Enquiries
Initial enquiries and discussions do not create an obligation for either party to proceed.
A service becomes chargeable once the scope and price have been agreed and LONDONGRAD has been instructed to proceed, subject to any specific terms provided for that service.
4. Fees
Fees vary according to the nature, complexity, urgency and duration of the request.
Indicative prices shown on the website are starting prices only unless expressly stated otherwise.
LONDONGRAD will confirm the applicable fee or pricing basis before beginning chargeable work.
Third-party costs are separate unless expressly included in the quotation.
5. Third-party providers
LONDONGRAD frequently works with independent third-party providers in order to fulfil client requests.
These may include venues, drivers, healthcare professionals, event suppliers, educational providers, tradespeople and other specialists.
Where a third party supplies a service directly to you, that service may be subject to the third party’s own terms, cancellation policy and charges.
LONDONGRAD may assist with sourcing, communication, booking and coordination but does not itself provide regulated or specialist services merely by arranging access to an independent provider.
Nothing in these Terms excludes any responsibility that cannot lawfully be excluded.
6. Quotes and third-party costs
Prices quoted by third-party providers may change until a booking or purchase is confirmed.
Where possible, LONDONGRAD will obtain your approval before incurring a material third-party expense on your behalf.
You are responsible for approved third-party costs unless otherwise agreed in writing.
7. Payments
Payment terms will be communicated before the relevant service begins.
Depending on the request, LONDONGRAD may require full or partial payment in advance.
A request is not necessarily confirmed until any required advance payment has been received.
8. Cancellations
Cancellation terms may vary depending on the service and any third-party bookings involved.
Where a third-party supplier has its own cancellation or refund policy, that policy may apply to the relevant third-party charge.
LONDONGRAD will communicate any request-specific cancellation conditions where applicable.
Nothing in these Terms affects any statutory cancellation or refund rights you may have as a consumer.
9. Requests requiring immediate performance
Some concierge requests are time-sensitive and may need to begin before the expiry of any applicable statutory cancellation period.
Where legally required, LONDONGRAD may ask you to expressly request that the service begins during that period and acknowledge the consequences for your cancellation rights.
If you cancel after requesting that work begin, you may be required to pay for services already supplied, to the extent permitted by law.
10. Client responsibilities
You agree to:
• provide accurate and reasonably complete information;
• inform us of relevant deadlines and material requirements;
• respond within a reasonable time where your approval is needed;
• disclose relevant information necessary for the safe and lawful fulfilment of your request;
• not request services that are unlawful or reasonably considered unsafe.
LONDONGRAD may decline a request that cannot reasonably or lawfully be fulfilled.
11. Timing and availability
We aim to complete requests within agreed or reasonably expected timeframes.
Some requests depend on third-party availability, operating hours, transport conditions, venue availability or other circumstances outside our direct control.
Unless expressly agreed otherwise, estimated timings are not guarantees.
12. Healthcare coordination
LONDONGRAD may assist clients with identifying, contacting or coordinating independent healthcare providers.
LONDONGRAD does not provide medical diagnosis, treatment or clinical advice unless a suitably qualified healthcare professional is separately providing that service.
In an emergency, clients should contact the appropriate emergency services rather than rely on a concierge service.
13. University and education support
Where LONDONGRAD arranges university visits, student introductions or education-related assistance, such services are for information, orientation and logistical support unless expressly agreed otherwise.
LONDONGRAD does not guarantee admission, academic outcomes or decisions made by educational institutions.
14. Events
Where LONDONGRAD assists with an event, the scope of responsibility will be determined by the service agreed with the client.
Supplier performance, venue rules, cancellations and other third-party matters may also be governed by the relevant provider’s terms.
15. Liability
LONDONGRAD will provide its services with reasonable care and skill.
Nothing in these Terms excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or statutory consumer rights that cannot lawfully be excluded.
Subject to applicable law, LONDONGRAD is not responsible for losses caused solely by independent third parties, inaccurate information supplied by the client, or events outside our reasonable control.
16. Intellectual property
The LONDONGRAD name, website content, written materials, branding and original materials created by LONDONGRAD remain the intellectual property of their respective owner unless otherwise stated.
Website content may not be reproduced for commercial purposes without permission.
18. Changes to these Terms
We may update these Terms from time to time.
The version applicable to a particular service will be the version in effect when the relevant service is agreed, unless otherwise agreed in writing.
19. Governing law
These Terms are governed by the laws of England and Wales.
Nothing in this section removes any mandatory rights a consumer may have regarding where proceedings may be brought.
